Information for Vendors and Performers: Travel the Circuit

As we establish more events in the Western Region, we find that vendors, organizations, performers, and even people are interested in multiple events. Events will, as a rule, be separated by a couple of hours drive. But in many areas the density of events is reaching the threshold of that rule, and a couple hours might not be a large hurdle for some people that want to participate. Higher attendance and participation helps everyone, you and us! To make it easier, we are working to "stagger" nearby events on different days and different weekends if possible. I realized the importance of this in Sacramento 2001, where vendors asked me about working the event in my hometown of Los Angeles.

The approximate sections working to stagger their events are the following areas where multiple events exist: Western Washington state, Northern California (and Reno), Southern California (and Las Vegas), and Southern Arizona.

If you are planning to work multiple events as an author, performer, or vendor, keep the following tips in mind.

  • Cities range greatly in size and so do the events. We believe all events are worth attendance, but do realize that (sorry to pick examples here) Sacramento will attract a thousand people but Hemet will be less attended.

  • As event attendance will vary, so will costs. Vendors will see these costs vary greatly and might be curious. I am not going to dictate fee policy to my local coordinators because it is not appropriate. The cost of park rental, insurance, city permits, and other fees varies from under a hundred dollars to $3000. Local coordinators must base their vendor fees on these costs and on the number of vendors they expect. One thing I can guarantee: every event is working at slightly above breakeven (or under breakeven). We are all "not for profit".

  • Performers and authors might see their allotted time and any possible allotted signing time vary due to the scheduling constraints of the venue and event. Again, local coordinators have to be the judge of this, and they always give as much as possible, but they also have to give everyone time.
